Online Booking - Limit Staff Choices For New Clients
For a therapist who already has a full client list and does not wish to get any new clients, to block new clients from booking in with her online yet allow her existing clients to book online. This would allow new therapists whos client list has room to fill up.

Who would count as an existing client for a staff member?
Is is a client who had a least one visit with this staff member in the last year for example?

I agree very much so with Tamara Sullivan's input. There should be a toggle button on a stylist's profile settings that says "Allow new clients to see schedule" -- if it's turned off, it would still allow existing clientele the convenience of rescheduling from the handy booking links they get in confirmations and reminders (this is great as it leads to less calls to the front of the house). New clients would be anyone visiting the salon/spa for the first time.
A heads up to fellow owners: You can set up a Special Offer that only includes your building stylists/staff. If you build-in your new guest offer ($5 Off, etc.) to the pricing here, you can entice newcomers to book with these particular professionals first. I do wish Phorest would allow the Special Offers category at the top of the widget sometimes. I feel like it gets missed being at the bottom.

Thanks for putting this in review! I think one appointment is sufficient with said stylist. So for example if they are a returning request then I would say let’s accommodate them… But if they are a “shop hopper” who hasn’t seen that stylist before then do not allow them to book with said stylist. New SERVICES are fine as long as they are a return request.
Also… Can we PLEASE limit online booking calendar? 60-90 days is enough and with some in demand stylists this takes a huge burden off as people just keep booking and booking. Editing the rosters is a SERIOUS PAIN and basic booking systems have this feature! Thanks for listening!

For this particular question "NEW" clients (for us) means they've never had services before. We would like to be able to have a toggle that we click "not accepting new clients" so that the newer staff members schedules fill. We want clients to think of us as their place, not of any one service provider as their person.
This is not the only solution to unbalanced bookings, but it is one that seems to support current industry style of booking. You have a large number of Strategies Coaching clients - we are team based and want our clients to see any service provider that is available. The way we would like to book is to evenly distribute clients across available service providers. Some solutions are:
Ability to offer booking by only time availability rather than service provider. (
When prebooking at the front desk before client leaves, an option to see all availability X weeks from now would be much better than defaulting to the same service provider the client just saw. We have work arounds.
Smart suggestions. For example a person is trying to book, but times for the day they are looking at are not available with the service provider they chose. Suggesting another provider's time for that day would be helpful.
Putting the provider with the most availability at the top of the search?

I would LOVE this!!! I'm always busy and get a lot of new requests, but it would be super awesome to be limit new clients and that way the rest of the staff can get in on the new clients and I can make sure to have enough room to serve my existing ones.

The lack of this feature is becoming a huge pain in the neck. I have 2 stylists that are not accepting new clients. When a new client clicks the "pick for me" link, they are sometimes directed to book with a stylist that isn't accepting new clients. Not even mentioning the way this affects our reputation, we end up wasting tons of time reaching out to the customer to reschedule their appointment. The better part of the time I waste consists of me listening to the customer complain about the way the scheduler picked me for them.There could be more than one solution for this. You could make it a toggle in the staff settings. Or there could be, for each stylist, a configuarble widget or private service links that could be placed on a password protected page on a personal website.
Wow this would be amazing. We have a few girls who we had to take off the online booking at a great inconvenience to here guests.
I’m currently not wanting to take any new clients on but I can’t turn off online booking for new clients. I can’t keep blocking time out as my current clients can’t reschedule & I don’t want to turn off the online booking as other stylist still need the business of new clients.
This is absolutely essential. New clients tend to want to book with the owner or senior stylist whom already have a full client base. Limiting booking for new guests to certain staff would be ideal.

This has really become a problem recently, I don't need any more new clients but I'd like my existing ones to be able to book and my staff to get new clients. It would also be good if there was some kind of login for existing clients only, or certain services don't show for new clients as I am tired of having to ring new clients to say you need a consultation first for colour and you have booked the wrong service that doesn't allow enough time.This would be one of the most helpful updates :)

I would love to have the option to turn off busy stylists from receiving online bookings from new clients but to still be available on the online booking for their regulars. This helping fill the younger generation coming through to build.

We have multiple stylists who do not accept new clientele and there is no way of controlling online booking. We have to call clients and tell them that they cannot have the appointment they've booked for. It's a big problem!
I hate seeing new stylists being open all day when I have an established clientele and am 85% or morebooked every day!

OMG this would be great as Im the most expensive I get alot of new customers wanting me. It would be so good to be able to turn this feature off to promote our new staff coming thru.
This would be amazing! Facilitates focus to new staff who are building clientele rather than established staff who already have a full list, currently only option is to take full staff off online bookings and it’s inconvenient for clients.

I'm an owner and very booked stylist. I no longer want to take new clients and cannot do so via online booking unless I take myself off. However, this then takes away the ability for all my current guests to book online. I know I can't be the only stylist who no longer wants to take new guests. This would be a great feature to add.
We need to be able to keep new clients from booking online. We are having an issue where they see something that will take a certain amount of time, and decide that is ok with them, but in reality they need more time. Its really messing up our books. We would like to be able to talk with them on the phone prior to their visit to make sure they are booked correctly. I really miss this from our previous software.

I have a full clientele. My books are currently closed. I would love to have a code I can give to them specifically so they can book and manage their appointments on my books with out allowing everyone in the world to book.
We need this in our life! I keep having to take myself off online bookings which I get complaints from clients about!
